Export Office docs as PDF and have it indexable by SP

Hi there...this is somewhat of a hybrid question between Adobe Acrobat and SP.....I'm taking a stab at this forum first...

Long story short, we have a publishing server that converts office documents to PDF using Adobe Acrobat X as the engine that does the PDFing.

Note: PDF mimetype is added and iFilter is in place and working.

We've noticed that the contents of the PDFs created in this manner are not being indexed by SP and thus not searchable. 

Yet, if we take the same excel file and just use the out of the box (Office) "save as" PDF, the document is indexed and the contents are searchable.

But when we do the "Save as" adobe pdf (which uses adobe as the engine), it's not.

I believe this is probably a configuration in Acrobat that I can simply switch on/off, but I can't find any documentation that really relates it to SharePoint indexing.  Anyone have any ideas?

FAST Search drive out of space

Hi guys,

The drive where our FASTSearch directory is located is out of space. I've ordered new hardware to replace it (which doesn't come in till next week), and I've paused all the active crawls.

I was hoping there was some temporary way to alleviate space on the drive, i.e. hidden log files or some such.

I'd appreciate any ideas.

Sharepoint Crawl log shows the items are crawled but when we do the search at site collection result are not at all returned.

Any guess what can be the issue ?

Show the last published documents in a view for a document library.

Hello!

At our company we have a document library with many documents. These documents are evolving and are therefore going from major versions to minor versions to major versions again. To be able to get a good overview of the last "official" versions we would need to have a view that shows the last "Approved" versions of each document (if any approved versions exist). This is basically the same as watching the document library from a user that only own reading access and therefore only sees the"published" versions.

In our case this view should be used by people that own editing rights as well to the documents. 

Is it possible to accomplish this?

I tried to use the tip from the following site: link 

The "?IncludeVersions=TRUE" did not work though.

Document ID moving across the site collection

Thanks for reading, let me explain my scenario before my question

1. we have huge site collection with full of documents

2. want to enable document id feature to track of documents

3. we want to run the process to archive docs which are older than 6 months into different site collection.

4. after 2 years, we will have 4 archived site collections, documents are spread across the various site collection

Does document id move across the site collections, still users can get old document using initially assigned document id after archive into different site collection?

I read some documentation on document iD that it is targeted for Site Collection level.

Different in count of refinement panel and pagination of FAST Search in SP 2010

Hi All.

1. I created one custom scope for in my search site which is "Url=http://cutom/"

When I search for % using that scope i get different count in refinement panel and Search statistics.

Please help me to understand this count difference. As there is scope applied on site url Site refinement panel should show all results related to that site only.

2. Adding one more question to original question.

When I search for ALL(%) (FileExtension="flv") why there is result type shown with different optionsas below:


mssearch.exe is utlising high CPU usage.

Hi,

Here is the issue, not able to figure out , why high CPU usage at times, which in turn effecting users working on the sites.

Standalone server--- SharePoint 2010,Fast Search, Sql 2008 installed on the same machine.

Fast search crawls are started , after crawls finish, still in fast connector, we are observing "index deleting unneeded items.

How to reduce CPU utilisation in this scenario.

Some one please help me in the issue asap.

Result type in Refinement panel showing wrong values

Hi,

When I search for Excel document from Advance search page.  I see below output on result page.

So please help me to understand. If I am searching only for Excel document then why result type showing XML, ZIP, Word in Refinement panel category options?


SharePoint 2010 Content from top level site hidden from search results on subsite.

Hi Everyone,

The issue I am having is that when a group of people are in there site, we'll call it site B, and they hit the search function, they only get results from site B and subsites of site B, but nothing from the top level site, site A. does anyone know of anyway to get results from site A when searching in site B? This would really help me out a lot.

Crawled Property - Related fields for Lookup Fields

I have two lists -

List1
AuthorName
AuthorCountry

List2
Book
AuthorName (lookup from List1)
AuthorCountry (additional field from List1 based on lookup field AuthorName)

I can see ows_AuthorName as a crawled property. But if I want to get the associated AuthorCountry is there a way to get it? Even though I have a column for related AuthorCountry field there is no crawled property for it.

Strange People Search Core Results issue.

I don't know if this has just started or has just never been pointed out before but, while our searches all work and the results are as expected, the People Search Core Results web part is returning "people.aspx" as plain text for any user who's Job Title in Active Directory is empty.
I've proved this by manually adding a job title to an affected users profile in CA and waiting for the next incremental crawl to pull the change into the search results. 
Also clicking on the hyperlink for the users name takes you to their profile page where the Job Title property, if blank, is not displayed so this is unique to the Core Results web part.

The XML for the fetched property relevant to this is "<Column Name="JobTitle" HitHighLight="true"/>" but the local visualisation is enabled which greys out and potentialy ignores this XML.

Has anyone experienced anything similar to this?

Extranet Search not working

We have a strange issue in one of our EXTRANET portal. The summary and background is:

1. Extranet portal has trust to all the other child domains in the AD(NA,EMEA,AP).
2. Search Application is running perfectly fine with minimal errors(errors which can be ignored).
3. Reset the index and initiated the Full Crawl- get completed successfully and index is build again.
4. All the search scopes and rules are default.
5. No custom search pages are being used.
6. Its not FAST search.

Now the issue is that, when our HCL team tries to log-in into the site with their EXTRANET account(both normal and Admin) and tries to search anything on the portal, the search is working perfect and results are coming-up.

But, when any other user who tries to log-in with their EXTRANET accounts (again both normal and Admin) and even with their other domain accounts (NA, AP, EMEA) and tries to search then the result is ZERO.

Other interesting aspect is that. if try to search a document with our ID and give the URL of that particular file/document to the client/user, then he is able to open that doc perfectly without any errors.
 

Search will Crawl Site Collections but gets an access denied error crawling sites

As in the title, we have a single Web Application that contains several hundred site collections and within some of these are several hundred sites. The crawl will happily work with the Site collections but returns an access denied error when crawling the sites.

Some background, originally the systrem was crawling using the default external URL and was working fine. Due to performance issues it was decided to move the crawl to a dedicated server which would crawl an extended site in the intranet zone using an internal server URL.

Actions taken so far:

  • Disabled loopback
  • Added hosts file entries for the internal URL on all servers
  • Confirmed seach account permissions on web app and content databases
  • Configured crawl rule for basic authentication and "Include all items in this path"

Not sure what else to try, any suggestions would be most welcome.

Problem with crawled property for MS Office 2010 version documents

Hi All,

Recently i have been stuck with this problem.. We were supposed to display embedded author value of MS Office document in front end . I ran the spy logs , found the crawl property(CP) and i could do it by mapping (office 4 : 30) crawled property to a manage property and display it in front end. But the problem is; it works fine with office 2007 version documents. Embedded author of Office 2010 values (docx,pptx,xlsx)are not getting reflected on office4:30 CP. Further digging by running spy logs show that office4:31 has the values but it also has values from sharepoint column. What i mean to say is office4:31 has two values, one from sharepoint column ,and one from embedded author.
I could not find a crawled property which shows embedded author of office 2010 files. CAn someone help me with this..?

While creating a new Managed property from search service application , you can have  select "Has multiple values" from Name& Type category.

What is the significance of "Has multiple values" ?

Search not indexing content of .SHTML files

We currently have a mismash of .SHTML and HTML files on our Intranet which are being crawled and indexed via our SharePoint farm. We have noticed that when doing searches, the HTML files correctly display the contents of the files, but the SHTML files do not. When we type in the name of the SHTML file in question in the search box, the file is returned successfully but we cannot search on the content of the files.

We have verified that .SHTML are valid file types to be scanned and are not being blocked in any way. MIME appears to be ok as well.

There are third party ifilters that support this content, but they are an extension of the MS provided ones and simply provide additional content features.

can we add only one one site for crawling in SP2013

Hi All,

I have a several site collection, in one of important site collection, have several sites. subsites and subsites has subsites

On demand basis can I crawl requested site URLs only in SP2013 search?

example.:

http://ser/sites/sitecoll/site1

http://ser/sites/sitecoll/site2

http://ser/sites/sitecoll/site1/site3

http://ser/sites/sitecoll/site1/site2/site4

can I crawl only below two sites?

http://ser/sites/sitecoll/site2

and http://ser/sites/sitecoll/site1/site2/site4

other site users dont want it to be crawl as it is not autherized in search results..

how can I do it? I heard from my team member. if we add subsite. automatically whole site collection will be crawled.. i want to get it confirm.. 

we have SP 2013 enterprise

We are getting the below error when we see in Crawl logs

This is happening in FAST search.

Here I can see soke of the logs related to this search crawl.
Could anyone please help on this?

Search on InfoPath form Library.

i have one infoPath Form Library, and all the users in the company have read and write access on this library to submit forms, so when any user search on this Library, they are getting all the forms as expected, but my requirement is, all the users should able to submit the forms, but when any user search on this library, they should able to see only their own forms, not other's submitted forms, but one SharePoint group members should have access to search all forms in this library.

can any one please assist me how to achieve this.
